Choosing the right VoIP device

 

Speak to the receptionist, not the leadership team.

One of the biggest mistakes we can make when choosing which desk phones to purchase is leaving the discussion, and decision up to senior managers/directors.

It may sound strange, but the reality is, they commonly don’t use the desk phone as much, or to the same degree as front line staff, such as receptionists and first line support. Therefore, it is critical for your new supplier to understand what way is the current phones being used, and what features are required. For example, a receptionist may use things such as smart transfers and call parking that others may not require. 

 

Global Directories

Nearly every handset manufacturer will have the functionality for global, company-wide directories. However, this is not the case for VoIP platform suppliers. Ensure your platform supplier and hardware supplier work together to allow global directories. 

 

Do you need lots of buttons?

There are many phones with lots of different buttons, these can all be programmed to do different things, such as speed dials, presence of users etc. For many, they simply make and receive calls, for these staff, a basic phone will provide all the same functionality. Likewise, if you have a busy receptionist who needs many buttons programmed, you may opt for an expansion module to help with ease of use when transferring calls.

Should you use a softphone instead?

Softphones are great, they allow us to use our computers and mobile phones as our desk phones. Empowering us to be able to work from anywhere, as if we are in the office. 

When choosing your new provider, ensure you check out their softphone solution, they vary massively from providers. Some are a lot better than others. On top of this, if you’re using an iPhone, ensure they work flawlessly, as many have had struggles in the past.

That being said, the right softphone solution can revolutionize your business. Whether used in tandem with a desk phone or stand-alone, you won’t be disappointed. 




Always try and connect through an Ethernet cable.

It may sound simple, but with Wi-Fi now readily available in most offices some may opt to connect you up this way rather than using a cable. It’s fairly obvious, a cabled phone will always provide a more reliable, secure connection rather than Wi-Fi.



Can you bring the device anywhere?

Nearly all cloud VoIP providers will empower you to bring your phone anywhere and plug it in, and you can work as if you are in the office. However, there are a few that will lock the phone to your office IP address, to ensure this is not the case or that it’s an easy process to change.

 

Power supplies vs PoE

Nearly all IP phones will not come with a power supply. You will need to ensure you have a PoE switch to power them over Ethernet or order the additional power supplies at the point of sale.
